For the building materials manufacturer FIXIT GROUP, centralized and efficient management of digital assets is crucial to meeting group-wide requirements. The customer operates across Europe, unites several brands and serves over 16 languages.

A media database had already been implemented before Sharedien was introduced. The decision to do so was based, among other things, on increasing demands for modern DAM software with AI support, advanced features and maximum flexibility.

To counteract this problem, a modern DAM solution – Sharedien – was evaluated in collaboration with brix, which ensured centralized and unified management of corporate communications, product information (PIM), images, website assets, technical documents and certificates worldwide. The goal was to provide a user-friendly platform that would enable all brands, departments and international locations to efficiently access and flexibly use centrally maintained and consistent content.

Rights management and categorization

Using Sharedien's rights and roles system simplifies the administration of authorizations for the various brands and countries. The system assigns rights directly to the respective departments and, by connecting to the Active Directory, reduces the administrative effort involved in user administration.

Efficient migration

The General DAM Migrator developed by brix enabled a centrally planned and efficient migration. The existing database was transferred step by step to Sharedien and made available to the respective units in real time. The two-stage approach – an initial migration followed by a delta transfer – ensured that new and updated content was integrated quickly and reliably. This ensured a smooth transition and the availability of up-to-date data throughout the entire process.

Data preparation

The use of the Sharedien AI functions was used to optimize asset tagging. The missing tagging was added centrally and existing tags were standardized. Overlapping values were removed from historical data sets. In addition, the Sharedien AI was used to ensure that existing assets as well as new assets were automatically tagged correctly after going live.

Search and user interface

Faceted filters and automatic content and color recognition enable users to quickly and accurately find specific image content, such as «woman on the phone» or «construction site images in blue or orange». New requirements were quickly and flexibly integrated into the search process.

Upload templates are created centrally and define mandatory fields and dependencies that are checked when uploading new assets. This ensures data quality and simplifies the upload process for users.

Entities

Entities are created centrally in Sharedien's extended data model and linked to the corresponding assets. Users can quickly and flexibly integrate and adapt new requirements at any time.

Interfaces

The simple integration via the integration hub and the Sharedien API not only preserves the existing interfaces, but also significantly simplifies them. This solution enables a seamless transition while increasing efficiency.

• PIM to Sharedien:
• Generated PDFs, such as data sheets or certificates, including their metadata, are uploaded directly to Sharedien via the API.
• Export of metadata and assets to PIM:
  
• Sharedien transfers event-driven information about new, changed or deleted assets, including associated metadata, to the PIM system.
• Asset Picker in the PIM:
• In the PIM, product images can be conveniently selected from Sharedien using an integrated asset picker and assigned to the corresponding products.
• Asset Picker connection in Typo3 CMS:
  
• The connection of the Asset Picker to the Typo3 CMS enables the direct selection, cropping and automatic conversion of assets from Sharedien into the desired WebP format for seamless integration into the CMS.

Increased efficiency through automation

• The integration of Active Directory has significantly simplified user administration.
• Upload templates with mandatory fields and dependencies improve data quality and automate workflows.

Optimized migration and smooth go-live

• 100,000 assets (500 GB) were efficiently migrated using our proprietary DAM Migrator tool.
  
• The delta migration before the go-live minimized the risk of delays.

Improved search and filter options

• Faceted filters and AI-powered recognition enable more precise and faster media searches.
• Users can now search for image content and colors (e.g., «woman on the phone» or «construction site images in blue»).

Higher data quality through AI and standardization

• Sharedien AI has improved tagging and cleaned up inconsistent metadata.

• The Sharedien API and the integration hub reduced the complexity of the interfaces.

The central DAM solution is now used efficiently throughout Europe for corporate communications, product images and certificates.
